Privacy Policy

Information about a living person which can be used to identify him or her is termed personal data. This includes information recorded digitally and on paper. The collection and use of this information is regulated by the General Data Protection Regulation.

An organisation which collects, keeps and uses personal data is termed a data controller. St Oswald’s Parochial Church Council is a data controller. The information it holds includes names and addresses, contract details and financial information regarding:

• members of the congregation
• people involved in special services such as weddings, baptisms and funerals
• subscribers to the Parochial Hall 100 Club
• employees and volunteers

We promise that:

• We collect and keep only information that we regard as reasonably necessary for our functions
• We keep the information up to date as far as we can
• We keep the information safe, so that it is protected from loss, misuse, unauthorised access or disclosure. How we do that will depend on how confidential the information is
• We will inform promptly any person likely to be affected by a breach of our information security
• We may share information with other churches but will not disclose information to any other third party without prior consent except where required otherwise by law
• We keep the information only as long as it is needed or we are required to:
  • information in the Church registers is kept indefinitely
  • information relating to our safeguarding responsibilities is kept for 50 years
  • other information is generally kept for 7 years
• We only use information for a relevant and legitimate purpose and on a legal basis including:
  • the explicit consent of the person to whom the information relates
  • the information relates to a member or former member of the congregation or those who have regular contact with the church and is not disclosed to a third party without prior consent
• We never sell information, for instance for marketing purposes

We may be required by law to disclose information, for instance in connection with a criminal investigation or to HM Revenue and Customs.

A person whose information we hold has certain rights, including:

• To be given a copy of that information
• To have any errors in that information corrected
• To have all the information deleted (except where we are required by law to keep it) – but this will mean that we cannot contact that person
• To complain to the Information Commissioner’s Office at Wycliffe House, Water Lane, Wilmslow, SK9 5AF
